Edit Employee

1. Functionality Description

Editing an employee refers to updating personal data in accordance with legal provisions. This may include changes such as:

  • Changing the name following marriage.
  • Updating citizenship.
  • Changing the type of identity document.
  • Correcting errors initially recorded.

This functionality allows the employer to ensure that employee data is correctly recorded and updated in the record database.


2. Accessing the Functionality

To access the Edit Employee function, follow these steps:

  1. From the main menu, select Employees.
  2. Access the sub-menu Edit.
  3. The search screen will open, where you can filter employees using criteria such as:
    • First name and last name
    • CNP/NIF
    • Date of birth
    • Place of birth

Warning: Only the first 10 results are displayed in alphabetical order. To find other employees, it is necessary to use the search fields.


3. Modification Steps

The process of modifying an employee takes place in several steps:

3.1. Selecting the Employee

  • After identifying the desired employee in the list, select him and press the „Forward” button.

3.2. Editing Employee Data

After selecting the employee, you will have access to the Employee Data section, where you can modify the following information:

  • First name and last name – In case of legal name change (e.g. after marriage).
  • Citizenship – If the employee has changed citizenship.
  • Type of identity document – Depending on the new document presented.
  • Date of birth and place of birth – If there are errors in the initial registration.
  • Level of disability – If the employee's disability status has changed.

3.3. Editing General Data

In the General Data section, you can update information about:

  • Address
  • Residence
  • Other administrative mentions

3.4. Summary and Validation

  • Before finalizing, the system will display a summary of the changes made.
  • Very all data before confirming the change.

4. Confirmation of Changes

  • After verifying the data, press „Submit” to complete the modification.
  • The system will generate the following confirmation messages:
    • „I have transmitted the information necessary to modify the employee [TEST TEST].”
    • „The employee [TEST TEST] with CNP [1820110413165] was successfully modified!”

5. Special Considerations

  • Changes must comply with the official documents presented.
  • Any modification made must be transmitted in the system for validation.
  • If a modification is not allowed, the employee must be removed and re-registered with the correct data.
